This Privacy Policy explains how Routine Hive collects, uses, stores, shares, and protects personal data when you use our mobile app, website, account features, family features, managed child profiles, and subscription services.

2. Scope of This Privacy Policy

This Privacy Policy applies to the Routine Hive mobile application for iOS and Android, the Routine Hive website, user accounts, family groups, managed child profiles, subscription features, task and goal features, avatar uploads, and related services.

This Privacy Policy does not apply to third-party websites, app stores, payment systems, or services that are controlled by other companies. Those third parties may have their own privacy policies.

3. What Routine Hive Does

Routine Hive is a family routine, task, and goal app. It helps families create tasks, assign responsibilities, manage routines, track completion, use points or rewards, create managed child profiles, and use family collaboration features.

Routine Hive is designed as a family organization tool. It is not a medical, psychological, educational, legal, financial, childcare, safety monitoring, or emergency service.

4. Categories of Personal Data We May Process

4.1 Account Data

We may process account information such as your name or username, email address, login method, user ID, profile role, language, timezone, account creation date, account status, and authentication-related information.

4.2 Family and Profile Data

We may process information related to your family group, including family name, family ID, family member roles, invited members, managed child profiles, profile names, profile avatars, profile type, family permissions, and family membership status.

4.3 Managed Child Profile Data

Parents or legal guardians may create managed child profiles. These profiles may include a child’s profile name, avatar, age-related information, assigned tasks, completed tasks, points, goals, routines, streaks, and other family organization information entered by the parent or family group.

Managed child profiles are controlled by the parent or legal guardian. They are not intended to be independent accounts for children under the required age.

4.4 Task, Routine, and Goal Data

We may process information that you create inside the app, including task names, task descriptions, routines, goals, icons, categories, points, due dates, recurrence settings, completion status, review status, task history, and related activity.

4.5 Avatar and Image Data

If you upload avatars or profile images, we may process and store those images to display them inside Routine Hive. You should only upload images that you have the right to use and that are appropriate for a family app.

4.6 Subscription and Purchase Data

If you purchase Family Plus or another paid feature, we may process subscription-related information such as subscription status, entitlement status, product ID, renewal status, cancellation status, purchase platform, country or region, transaction identifiers, and customer identifiers provided by app stores or subscription management providers.

We do not directly process full payment card numbers. Payments are usually handled by Apple App Store, Google Play, RevenueCat, or other authorized payment or subscription providers.

4.7 Device, Technical, and Log Data

We may process technical information such as device type, operating system, app version, language settings, approximate region, IP address, device identifiers provided by the platform, crash logs, diagnostic data, security logs, timestamps, and server logs.

4.8 Communication Data

If you contact us by email or support request, we may process your email address, message content, attachments, support history, and any information needed to answer your request.

4.9 No General Chat Function

Routine Hive does not currently provide a general chat or private messaging function between users. If we add communication features in the future, we will update this Privacy Policy where required.

5. How We Collect Personal Data

We collect personal data in the following ways:

  • directly from you when you create an account, family group, task, goal, avatar, or support request;
  • from parents or legal guardians who create managed child profiles;
  • from invited family members who join or interact with a family group;
  • automatically from your device, app, browser, or server connection;
  • from Apple, Google, RevenueCat, authentication providers, or other service providers when needed for login, subscriptions, app functionality, security, or support.

6. Purposes and Legal Bases for Processing

We process personal data only where we have a legal basis under applicable data protection law. Depending on the situation, the legal bases may include performance of a contract, legitimate interests, consent, or compliance with legal obligations.

7. Children’s Privacy and Parental Responsibility

Routine Hive is a family app and may include managed child profiles. Parents and legal guardians are responsible for creating and managing child profiles, deciding what information to enter, supervising the child’s use of the app, and ensuring that the use of Routine Hive is appropriate for the child.

Children under 13 are not allowed to create their own independent Routine Hive account. They may only use the app through a managed child profile created and controlled by a parent or legal guardian.

In Austria and the European Union, additional rules may apply to the processing of children’s personal data and the age at which a child can independently consent to digital services. Where parental consent is required by law, the parent or legal guardian must provide or authorize the consent.

8. Family Visibility

Information inside a family group may be visible to other authorized family members depending on their role and app permissions. This may include profile names, avatars, assigned tasks, completed tasks, points, routines, goals, and family activity.

Please do not enter information into Routine Hive that you do not want other authorized family members to see.

9. Subscriptions and RevenueCat

Routine Hive may use RevenueCat or similar subscription management services to verify purchases, manage entitlements, check subscription status, and provide access to Family Plus features.

RevenueCat may receive subscription-related identifiers, product identifiers, purchase status, entitlement status, platform information, app user identifiers, and technical information needed to manage subscriptions.

Apple App Store or Google Play may process payment, billing, refund, tax, and subscription data according to their own terms and privacy policies. We do not receive your full payment card details from Apple or Google.

10. Authentication Providers

Routine Hive may allow login through email, Apple Sign In, Google Sign-In, or other authentication methods. If you use a third-party login provider, that provider may process data according to its own privacy policy.

We may receive basic account information from the authentication provider, such as an email address, user identifier, name if shared, and authentication confirmation.

11. Cloud Hosting and Storage

Routine Hive uses cloud infrastructure and database services to operate the app, store user accounts, family groups, task data, managed child profiles, uploaded avatars, and related app data.

Our cloud service providers process personal data on our behalf as processors, where applicable. We take reasonable steps to choose providers that support appropriate security, access control, and data protection measures.

12. Push Notifications

Routine Hive may offer push notifications or reminders for tasks, routines, family activity, or account-related messages. Push notifications may require processing notification tokens, device identifiers, account IDs, and notification content.

You can usually control push notifications through your device settings. Disabling notifications may limit reminder-related functionality.

13. Analytics, Diagnostics, and Crash Data

We may process limited analytics, diagnostic, and crash data to understand app performance, fix bugs, improve stability, protect security, and improve user experience.

Where possible, we use aggregated or minimized data. We do not use analytics to intentionally collect sensitive family information or the content of private tasks beyond what is technically necessary to operate, debug, and improve the service.

14. Advertising and Tracking

Routine Hive is primarily designed as a family routine and subscription app. At the time of this Privacy Policy, this policy does not describe personalized advertising tracking inside Routine Hive.

If we introduce advertising, personalized ads, or additional tracking technologies in the future, we will update this Privacy Policy and request consent where required by law or platform rules.

15. Cookies and Website Technologies

Our website, routinehive.com, may use technically necessary cookies or similar technologies to operate the website, improve security, remember preferences, or provide website functionality.

If we use optional analytics, marketing, or tracking cookies on the website, we will provide additional information and request consent where required by law.

16. Recipients and Service Providers

We may share personal data with trusted recipients only where necessary and legally permitted. These recipients may include:

  • cloud hosting, database, and storage providers;
  • authentication providers such as Apple or Google;
  • subscription management providers such as RevenueCat;
  • app stores such as Apple App Store and Google Play;
  • email and support service providers;
  • analytics, diagnostics, security, and crash reporting providers, if used;
  • legal, tax, accounting, or professional advisors;
  • public authorities, courts, regulators, or law enforcement where legally required.

We do not sell your personal data.

17. International Data Transfers

Some service providers may process personal data outside Austria, outside the European Union, or outside the European Economic Area.

Where personal data is transferred internationally, we rely on appropriate safeguards where required by law, such as adequacy decisions, Standard Contractual Clauses, contractual data protection commitments, technical and organizational security measures, and provider compliance programs.

18. Data Retention

We keep personal data only for as long as necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

19. Account Deletion and Data Deletion

You may request deletion of your account or personal data by contacting us at developer@routinehive.com or by using any account deletion feature available in the app.

When an account is deleted, we will delete or anonymize personal data where required by law, unless we need to keep certain data for legal obligations, tax/accounting records, fraud prevention, security, dispute resolution, or legitimate business purposes.

If you are part of a family group, deleting your account may affect your own profile and access. Some family data may remain visible to other authorized family members if it relates to shared family activity, unless deletion is legally required or technically appropriate.

20. Security

We use reasonable technical and organizational measures to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure. These measures may include access controls, authentication, encrypted connections, database security rules, backups, logging, provider security measures, and internal access restrictions.

No digital service can guarantee complete security. You are responsible for keeping your login credentials secure and for using a secure device and network.

21. Your GDPR Rights

Subject to legal requirements and limitations, you may have the following rights:

  • the right to access your personal data;
  • the right to correct inaccurate or incomplete personal data;
  • the right to request deletion of personal data;
  • the right to restrict processing;
  • the right to object to certain processing;
  • the right to data portability;
  • the right to withdraw consent where processing is based on consent;
  • the right to lodge a complaint with a supervisory authority.

22. Right to Withdraw Consent

Where we process personal data based on consent, you may withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing before the withdrawal.

Depending on the feature, withdrawing consent may limit or disable certain app functions, such as avatar uploads, notifications, optional analytics, or child profile processing where consent is legally required.

23. Right to Object

Where we process personal data based on legitimate interests, you may object to the processing for reasons relating to your particular situation. We will stop processing the data unless we have compelling legitimate grounds to continue or the processing is needed for legal claims.

24. Complaints to a Supervisory Authority

If you believe that we process your personal data unlawfully, you have the right to lodge a complaint with a data protection supervisory authority.

25. Data Protection Officer

26. Automated Decision-Making

Routine Hive does not use automated decision-making that produces legal effects concerning you or similarly significantly affects you within the meaning of GDPR Article 22.

The app may use automated technical rules to provide features such as task completion, points, family permissions, subscription entitlement checks, notifications, security checks, and app functionality.

27. Sensitive Data

Routine Hive is not designed to collect special categories of personal data such as health data, religious beliefs, political opinions, biometric data, or other sensitive information.

Please do not enter sensitive information into task names, goals, descriptions, avatars, or support messages unless it is necessary and you have the right to do so.

28. Data Accuracy

You are responsible for keeping your account information accurate and up to date. Parents and legal guardians are responsible for the accuracy and appropriateness of information entered into managed child profiles.

29. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Changes may be required because of new features, legal requirements, app store requirements, provider changes, security improvements, or business updates.

If we make material changes, we will take reasonable steps to notify you, for example through the app, website, email, or app store release notes. The updated version will apply from the date shown at the top of this page, unless stated otherwise.
